User Guide
Getting Started
Your first hour in Jobmand — how to sign in, how the screen is laid out, what your role lets you see, how your plan decides which modules are unlocked, and what the billing banners mean.
Signing in
Open Jobmand in your browser and enter the email and password your administrator set up for you. There is also a Sign in with Google button if your company uses Google accounts.
Your session is remembered on that browser, so you normally stay signed in between visits. Use Logout at the bottom of the sidebar to end it — always do that on a shared or jobsite computer.
Tick Save my email on this device and the sign-in screen fills your email in next time, so you only type the password. Your browser's own password manager handles the password itself — that is what its "save password?" prompt is for. Untick the box and sign in once more to forget the email. On a shared or jobsite computer, leave it unticked.
Tip: Jobmand is multi-company. You only ever see your own company's customers, projects, and money — that separation is enforced by the server, not by hiding buttons.
Forgot your password
Passwords are set by your administrator. If you're locked out, ask them to reset it from Employees — they can type a new one for you. (The mobile app has its own self-service Forgot password? link; see the mobile guide.)
The screen at a glance
Every screen shares the same three pieces: a sidebar on the left to move between modules, a top bar for account-wide things, and the content area in the middle.
The top bar
| Element | What it does |
|---|---|
| Breadcrumb | Shows Jobmand › <current screen> so you always know where you are |
| Language switcher | Flags for EN / ES / PT — switches instantly, no reload |
| Question-mark icon | Opens Help for the screen you are on |
| Gear icon | Jumps to My Company — admins only |
| Bell icon | Opens Messages. A dot appears when you have unread mail |
Jobmand checks for new messages every 30 seconds while you have it open. A new one pops a small toast and plays a short sound, so you can leave the tab open in the background.
Help, without leaving the screen
Every screen explains itself. The ? in the top bar opens a help panel for the screen you are currently on — what it is for, what you can do on it, and the things that surprise people. It is the same panel wherever you put your menu, and it closes with Esc.
Inside the screens, a small ⓘ next to a field, a column heading or a button explains that one thing. Hover it, tap it, or reach it with Tab. They are deliberately sparse: you will find them on the fields where the wording alone does not tell you what the system will do with your answer — a project's By Hour vs Closed Budget, an employee's hourly rate, a change order's cost impact.
At the bottom of the help panel, Open the full guide opens the matching page of this manual, at the right section, in a new tab. Your place in Jobmand is not lost.
Right next to the ?, the Documentation button (the open-book icon) opens this manual's home page in a new tab, on your language, so you can browse every guide rather than only the one for the current screen. It is there whether your menu is on the left or on the top.
The help panel follows the language you picked in the top bar. This manual itself exists in English and Portuguese — if you are working in Spanish, the panel is Spanish and the full guide opens in English. The panel tells you when that happens.
The sidebar
Modules are grouped so related screens sit together. Click the chevron at the top to collapse the sidebar to icons only when you need more room for a wide grid; click it again to expand.

At the very bottom sits your avatar, your name, your role badge, and Logout.
On a narrow screen — a phone or a small tablet — the sidebar is hidden. Jobmand's web app is built for a desktop or laptop; for field work use the mobile app instead.
Menu on the left, or on the top
The menu doesn't have to live down the side. If you prefer the look of a traditional Windows program, you can move it to a menu bar across the top of the window, where each group — Operations, Financial, CRM and so on — opens as a drop-down.
Open My Preferences (the sliders icon in the top bar, or Workspace › My Preferences in the menu) and pick Menu on the left or Menu on top. The change happens straight away — there is nothing to save.
The choice is yours alone. It does not change what your colleagues see, and it follows you to any computer or browser you sign in from. The modules on offer are exactly the same either way — only their position changes.
With the menu on top, the grey bar that showed the screen name disappears and its controls — language, company settings, notifications and your avatar — move into the menu bar itself. The top menu also stays visible on a narrow screen, where the sidebar would be hidden.
One page, no back button
Jobmand's web app is a single page: the address in your browser doesn't change as you move between modules. That has one practical consequence worth knowing on day one:
Don't use the browser's Back button to go back a screen — it will take you out of the app rather than to the previous module. Use the sidebar, or the Back / Close buttons inside each screen. For the same reason, you can't bookmark an individual project or invoice; bookmark Jobmand itself and navigate from there.
Roles — who sees what
Every user has exactly one role, set on their Employees record. The role decides which modules exist for that person at all — not just which buttons are greyed out.
That's the standard setup. A company that needs finer control can switch on Roles & Permissions, which replaces the Employee/Admin split with per-module access for each person.
Employee
Field and shop staff. They see Dashboard plus the Workspace group only:
- Dashboard — the Clock In / Out widget and their own My work section (my open tasks, due this week, hours this week, earnings this month, my projects) — see What an employee sees
- To-Dos — the tasks assigned to them
- Timesheets — their own hours
- Messages — company announcements
They never see customers, money, other people's hours, or the CRM.
Admin
Office staff, owners, project managers. Admins see everything in the company: all the groups above, the gear icon for My Company, and the admin-only actions inside each module — creating tasks, approving or rejecting timesheets, editing change orders, turning on customer portal access.
Superadmin
Jobmand platform staff, not your company. They get a completely different sidebar — Platform (Overview, Companies, Stripe Subscriptions) and System (Translations, Parameters) — and are not limited by plan. See the Superadmin guide.
Portal customer
Your clients are not users of this app at all. They sign in to a separate, read-mostly Customer Portal with its own address and its own credentials, and only see the projects you shared with them. See the Customer Portal guide.
Plans — what is unlocked
Alongside your role there's a second, independent gate: your company's plan. Modules above your plan are hidden from the sidebar entirely, so an admin on a Starter plan simply doesn't see Routes or the CRM.
The tiers run Free → Starter → Plus → Pro → Enterprise, each including everything below it.
Feature by plan
| Plan | Unlocks |
|---|---|
| Free (always on) |
Dashboard, To-Dos, Timesheets, Messages, My Company, Subscription — the core everyone gets, on any plan |
| Starter | Customers, Employees, Projects, Products & Services, Estimates, Invoices, Billing |
| Plus | Payments, Timesheet payment, Timeline, Scheduler, Routes & Destinations, Contracts, Change Orders, and the CRM (Dashboard, Leads, Pipeline, Follow-ups) |
| Pro | Reports, Customer Portal, CRM Campaigns, Wall Canvas, Translations, Parameters |
The upgrade screen
If you reach a locked module by another route — a link from a colleague, a shortcut card on the dashboard — you get an upgrade page instead of the module: "<module> requires the <plan> plan or higher", with buttons for Manage Subscription and See plans & pricing. Nothing is lost; the data is still there and appears the moment the plan is raised.
Subscription & billing alerts
Jobmand checks your subscription status live. Depending on what it finds, you may see a banner across the top of the app.
Warning banners
| Banner | What it means | What to do |
|---|---|---|
| Trial ending soon | Your free trial runs out in a few days | Add a payment method in My Company → Billing |
| Card expiring soon | The saved card expires before the next charge | Update the card before the renewal date |
| Card expired | The saved card is no longer valid | Update it now — the next charge will fail |
| Past due | A payment failed | Fix the payment method; access continues for a grace period |
| Cancellation scheduled | The subscription ends at the close of the current period | Nothing, unless you want to undo it — reactivate from Billing |
Banners are informational. You keep working normally while one is showing.
If the app locks
When a subscription is canceled or the account goes inactive, Jobmand replaces the whole app with a single screen: "Your subscription has ended", offering Renew Subscription, Contact support and Log out.
Your data is not deleted. Everything — projects, hours, invoices, photos — is exactly where you left it and comes straight back when the subscription is renewed.
Only an admin can renew. If you're an employee and you hit this screen, tell your office.
Changing the language
Jobmand speaks English, Spanish and Brazilian Portuguese. There are three places language is set, and they layer:
- The flag in the top bar — changes it for you, on this browser, right now.
- Your employee record (Employees → edit → Interface language) — your personal default, applied wherever you sign in, web and mobile.
- My Company → Default language — what new users get before they pick their own.
Some labels are still English-only. The sidebar group headings and the newer modules — Scheduler, Wall Canvas, Routes & Destinations, Contracts, Change Orders, Jobsite QR Codes, Custom Reports, Timesheet payment, Payments and the whole CRM group — plus the superadmin screens, don't follow the language setting yet. Everything else translates.
Where to go next

FAQ & Troubleshooting
- A module I used yesterday has disappeared from the sidebar.
- Either your role was changed, or the company's plan was lowered. Ask your admin to check My Company → Billing and your Employees record.
- I clicked Back and got thrown out of Jobmand.
- Expected — the app is a single page, so Back leaves it. Sign in again and use the sidebar to navigate.
- The bell shows unread but Messages looks empty.
- Messages can be addressed to everyone, to a group, or to one person. If a message was sent to a group you were removed from, the badge can lag until the next 30-second refresh. Reload the page.
- I changed the language but some screens are still in English.
- Known — the CRM, Payments, the Scheduler header and the superadmin screens aren't translated yet. Everything else follows the setting.
- Why can't I bookmark a specific project?
- The web app doesn't put screens in the address bar. Bookmark Jobmand itself and open the project from Projects.
- Can two people be signed in on the same account?
- Technically yes, but don't — timesheets and clock sessions are tied to the user, so two people sharing one login will corrupt each other's hours. Ask for your own account.
- Jobmand says my subscription ended, but we paid.
- Payment confirmation can lag a moment. Reload once; if it persists, an admin should open Manage Subscription from the lock screen and check the payment actually went through.
