CRM Module

A practical guide for admins using the Jobmand CRM. Covers Leads, the sales Pipeline, Activities, the CRM Dashboard, and Campaigns.

Quick overview

The CRM module turns Jobmand into a sales tool. Use it to:

Existing Jobmand modules (Customers, Projects, Tasks, Invoices) are reused — the CRM never duplicates them. When a lead is converted, a real Customer + Project gets created and from that point on the rest of Jobmand picks up where the CRM leaves off.

Where to find it

The CRM lives in the left sidebar, under a CRM group:

Only Admins and Superadmins see the CRM group. Employees do not.

The CRM is also plan-gated. If your company is on a lower plan the group is hidden, and opening a CRM screen directly shows an upgrade page instead:

Leads

A Lead is a prospect you have not yet won. They are separate from your real Customers and Projects until you "Convert" them.

Open CRM → Leads.

The list is a standard Jobmand grid. Type in its Search box to match name, company or email; click the funnel on the Status header to show one stage only; click any header to sort, drag one to the bar above to group, and use the column chooser to show or hide columns — your layout is remembered. Leads are paged, 15 at a time by default. Click a lead to open it in the panel beside the list; click it again to close the panel.

Each row also has a Print button. It prints a Lead details document on your company letterhead: the lead's details, every activity, every note, the photos attached to the lead (shown inline, up to six per page, each sized to fit the page) and any other files listed by name. Photos can be uploaded as JPG, PNG or HEIC (iPhone); HEIC is converted to JPEG when it arrives. To save it as a file, choose Save as PDF as the printer. The document uses the Template you last picked in Reports, or the Letterhead Modern template.

Create a new lead

  1. Click + New Lead
  2. Required: First Name, Last Name
  3. Optional: Email, Phone, Job Title, Company, Source, Assigned To
  4. If Source = Campaign, an extra field appears so you can pick the active campaign (see Campaigns)
  5. Click Save Lead

The lead is created with status New.

Lead detail

Click any row to open the detail panel. From here you can:

The Print button in the detail panel prints the same Lead details document described under Lead list.

Qualifying a lead

Click Qualify → status changes to Qualified. This signals the lead is a real opportunity worth pursuing.

Disqualifying a lead

Click Disqualify → you'll be asked for a reason (e.g. "out of budget", "wrong fit"). The reason is stored on the lead. Disqualified leads stay in your records for reporting but won't appear in your active pipeline.

Converting a lead

When a qualified lead becomes a real deal, click Convert. A dialog opens:

Tip: Once converted, the lead is read-only. All further work happens on the Customer / Project / Pipeline side.

Assigning a lead

Click Assign → pick another team member. The lead's "Assigned To" updates, and that user becomes responsible for follow-ups.

Pipeline

The Pipeline is a kanban board view of your opportunities (Projects with a pipelineStage set). Open CRM → Pipeline.

Each column header shows the count of opportunities in that stage and the summed value of those opportunities.

Each opportunity card shows:

Moving deals between stages

Drag and drop any card from one column to another. The stage and probability update immediately.

Closed Lost — reason required

When you drop a card into Closed Lost, a modal asks for a reason (e.g. "price", "lost to competitor"). The reason is stored on the project for later reporting.

Edit probability inline

Click the probability badge on any card → enter a new percentage (0–100) → click ✓. This is faster than opening the project to edit it.

Follow-ups (Activities)

Activities are interactions you have with leads, customers, or opportunities — calls, emails, meetings, site visits.

Logging an activity

From a Lead detail or the Follow-ups screen, click Log Activity (or the "+" on a lead). The form (modal popup) lets you set:

Open CRM → Follow-ups to see all your pending activities, grouped by urgency:

Click Complete on any row to mark it done. Completed activities disappear from "My Follow-ups" but stay on the linked record's timeline.

You can also switch the tab to All Activities to see company-wide history.

Linking activities to records

Every activity must be linked to one of: Lead, Customer, Project (opportunity), or Contact. From the Follow-ups page's "Log Activity" modal, you'll pick the type then select the specific record from a searchable dropdown — no need to memorize IDs.

KPI cards are clickable: tapping New Leads jumps to the Leads list, Open Opportunities to the Pipeline, Pending Follow-ups to the Follow-ups page.

Conversion funnel

Visual: Total Leads → Qualified → Converted, with the percentage at each step. Useful for spotting bottlenecks (e.g. lots of leads but few qualified means your qualification process needs work).

Pipeline by stage

Horizontal bar chart showing count and value per stage. The longest bar is the stage with the most opportunity dollars sitting in it.

My Pending Follow-ups

Top 5 outstanding activities for the current user, with a one-click Complete button. Click View all → to open the full Follow-ups page.

Campaigns

Campaigns let you measure where your leads come from and what your spend is producing. They're optional but recommended once you start running outreach.

What a campaign represents

A marketing initiative with a name, type, optional budget, and a date window. Examples:

Creating a campaign

Click + New Campaign. Fields:

Attributing a new lead

When creating a lead (CRM → Leads → + New Lead):

  1. Set Source to Campaign
  2. A Campaign dropdown appears below
  3. Pick the campaign (only Active campaigns are listed)
  4. Save

The lead is now attributed. Counts on the Campaigns page update on next refresh.

Reading the metrics

Conversion rate answers: "of the leads this campaign produced, how many became customers?" Red flag: low conversion despite high lead volume → top-of-funnel is fine, sales process or lead quality is the issue.

Cost per lead answers: "how much did each lead actually cost me?" Lower is better. Rough industry benchmarks vary — compare across your own campaigns first.

Conversion rate × deals won × average deal size = revenue. ÷ budget = ROI. Track these over time per campaign type to see what works.

Best practices

Common workflows

Capture a referral and follow up

  1. Leads → + New Lead — fill name + phone, set Source to Referral
  2. Open the lead → Log Activity → Type: Call, Direction: Outbound, Subject: "Intro call", set Follow-up Date for 3 days out
  3. The activity appears in your Follow-ups page (Today / This Week)
  4. After the call, open the activity and Complete it; log a new one with notes

Run a paid ads campaign

  1. Campaigns → + New Campaign — Name "Spring 2026 Google Ads", Type Paid Ads, Budget $1,000, dates set, Active
  2. As leads come in (form, phone, email), create them with Source = Campaign, pick the campaign
  3. Mid-campaign, check Campaigns page — conversion rate, cost per lead, lead count
  4. End of run, Pause the campaign so reps stop attributing new leads to it
  5. Compare to the next campaign's metrics — keep what worked, drop what didn't

Convert a hot lead

  1. From Leads, click the lead → Qualify
  2. Continue logging activities until ready
  3. Click Convert:
    • If the customer doesn't exist yet → leave "Create new customer" checked
    • Check "Also create opportunity", set the project name + estimated value
  4. The new project lands in Pipeline → Qualification
  5. Drag through stages as the deal progresses; close-won when contracts are signed

Watch the team's pipeline

  1. Open CRM Dashboard for the snapshot
  2. Click into Pipeline for the visual, drag-drop view
  3. Use Follow-ups → All Activities to see what reps are doing this week

FAQ & Troubleshooting

A lead's status says "Converted" but I don't see the customer.
Check Customers — the new record has the lead's name. If "Also create opportunity" was checked, the project is in Pipeline → Qualification.
I can't drag a card in the Pipeline.
You need admin / superadmin role. Employees see read-only.
My lead doesn't appear when I select Source = Campaign.
The Campaign dropdown only lists Active campaigns. If yours is paused or end-dated, reactivate it (click the Paused pill on the Campaigns page).
A campaign shows 0 conversion rate but has converted leads.
Refresh the Campaigns page — counts are recalculated each load.
I disqualified a lead by mistake. Can I un-disqualify?
Yes — open the lead and click Qualify. It moves back to Qualified. Disqualified reason stays on the record; clear it from the edit form if you want.
What's the difference between a Lead and a Customer?
A Lead is someone you might do business with. A Customer is someone you have done or are doing business with. Conversion makes the jump.
What's the difference between a Project and an Opportunity?
Same record — a Project becomes an Opportunity the moment it has a pipelineStage. Closed-Won projects keep their pipeline history but go on to behave like any other Jobmand project (tasks, timesheets, invoices).
Can employees see the CRM?
No, only admins and superadmins. Employees keep using Jobmand's existing Tasks / Timesheets / Messages flow.
Where do CRM Notes live vs Sales Notes vs Comments?
  • CRM Notes — sticky text attached to a lead, customer, or opportunity. Pinnable. Use for high-signal context ("budget approved by CFO 5/2").
  • Activity descriptions — free-text on a logged call/email/meeting. Use for what was said.
  • Project description / specifications — the regular Jobmand fields. Use for scope and deliverables.
Can I export the pipeline?
Not yet from the CRM screen directly. The Reports / Estimates / Invoices modules continue to handle financial exports. Pipeline data exports are on the roadmap.
