Reports

Every report you can run, in one menu: the standard reports (R101…) that ship with Jobmand, and Custom Reports built specifically for your company. Both are organised by module — the area of the app each report belongs to.

The Reports menu is a tree with two levels of folders: the area (Financial, Projects, Labor & Time, Sales & CRM, Operations), then the module — the screen of the app a report belongs to — with its reports inside. Click a folder to open or close it, and click a report to open it straight away. The folders holding the report you have open stay expanded, and the sidebar remembers which ones you left open. The menu only lists the reports you're allowed to run (see Who sees which report); an empty folder doesn't appear. Entries numbered D… are documents: a printout of one record rather than a list.

Custom Reports

Reports written specifically for your company — the numbers your business needs that no generic report covers. They sit in the Reports menu and on the All reports page under their module, each showing its number (when it has one), its name, its description, and an icon telling you whether it's a list (rows of detail) or an aggregate (summed totals).

Running one

Click a report — in the Reports menu, or on the All reports page, where you can also search by number or name and expand or collapse every module at once. The viewer opens, you fill in whatever parameters the report asks for, and run it. The result appears as a table. Print sends the report to your printer laid out like View as HTML — your company header, every row, and column headings repeated on each page. For a file, click Export to PDF and pick Save as PDF as the printer, or Download CSV for a spreadsheet file (with the totals row). Lists with money columns end with a Total row on screen, in print and in the CSV; a report "with lines" (R117, R118, R215, R416) shows each record with its lines nested underneath — click the arrow at the start of a row to open them, and the printout shows every line with a subtotal per record. Summed reports draw a chart: bars, horizontal bars, a line or area over time, or a pie or doughnut for shares of a total. The Template list next to those buttons sets the look of the HTML view, the printout and the PDF: the Letterhead templates (classic serif, modern, compact, elegant) print your company logo, address and contact details at the top of every page and "Page 1 of N" at the bottom — the page numbers appear in Chrome and Edge. Your choice is remembered on this computer.

Parameters

Parameters are defined by the report itself, so they differ from report to report. Typically you'll see date fields, text fields, and dropdowns that let you pick a specific project, customer or employee.

Date fields come pre-filled with a sensible period (this week, this month, this year). Leave an optional field empty to include everything. A report with no parameters just runs.

Every report only ever shows your company's data. That is enforced by the server, not by a field you fill in, so there's nothing to set and no way to see another company's numbers.

Where they come from

You can't build or edit a report from inside Jobmand. Definitions are authored in a separate report designer and published to every company; the web and mobile apps run and read them. Only the Jobmand team can change or remove one. If you need a new report — or a change to an existing one — that's a request, not something to look for a button for.

When you ask for one, describe the question and the columns you want, not the SQL. That's the part only you know. If it's close to a standard report, quote its number.

Standard reports (R101…)

Jobmand ships a set of standard reports that every company gets. Each has a report number shown next to its name — R101, R302 — so you can find it quickly and quote it when you ask for help. The first digit is the area: 1 Financial, 2 Projects, 3 Labor & Time, 4 Sales & CRM, 5 Operations.

Numbers never change. If a report is improved it keeps its number, so a note that says "run R105 for the year" stays right.

Who sees which report

Report permissions follow the module: a report shows up in the menu — and runs — when you can View the module it belongs to. Someone who can see Timesheets but not Invoices gets the timesheet reports and none of the invoice reports, with no separate "Reports" permission to grant. Only custom reports that belong to no module (the General folder) need View on Reports. Two things still depend on Reports itself: it is a Pro feature, and in a company that has not turned granular permissions on (legacy mode) reports stay administrators only. Documents (D…) follow the same rule as the screen they print from. The server checks this every time a report runs, so hiding a menu item is never the only protection.

Always plus Reports itself. Until your company turns on permissions under My Company → Roles & Permissions, reports stay admin-only: admins see every report their plan includes, employees see none. Once permissions are on, give a group View on Reports and on the areas whose reports they should run.

Documents (D101…)

A document is the printout of one record — an invoice, a payment stub, a project report, a lead — on your company letterhead. Documents live in the Reports tree with a D number, under the module they print from: open one, pick the record, then View as HTML, Print or Export PDF exactly like a report. The same documents are behind the Print / Export PDF buttons on the screens themselves, so a printout from a grid row and one from the Reports menu are identical.

Reports on the phone

Admins can run the same published reports from the mobile app, under Profile → Reports. On the phone they're grouped by category rather than by module, and the list follows the same permissions.

The mobile viewer fills the parameters, runs the report, and shows a table, a simple bar chart and the totals. You can switch to a server-rendered view, and export or share the PDF straight from the phone — useful when a client asks for a figure while you're standing on site.

Common workflows

Month-end review

  1. Clear the pending timesheet queue first — reports read approved data, so unapproved hours would understate your costs
  2. Reports → Invoices → R105 for the month, and R101 for what's still owed
  3. Reports → Projects → R109 to see each job's cost, invoiced and collected
  4. Print them or save them as PDF and file them

Find out why a job lost money

  1. R208 Materials Used by Project, scoped to that project and its date range
  2. R303 Hours by Project for the same window — labor against what you estimated
  3. R203 Change Order Log for the project — was extra work done that never got a change order?

FAQ & Troubleshooting

The numbers look too low.
Almost always unapproved timesheets. Reports count approved hours; clear the pending queue and run it again.
Can I create my own report?
Not from inside Jobmand. Custom report definitions are authored in a separate designer and published to your company. Ask for what you need, describing the question and the columns.
Custom Reports is empty.
The standard reports haven't been installed on this server yet. That's a one-time setup task for the Jobmand team, not a fault.
A standard report says "Unknown or unavailable table".
The database is missing a reporting view that report reads. Quote the report number to your Jobmand admin — it's a one-time server update.
Can someone at another company see our numbers?
No. Every report is locked to the company of the person running it, on the server. Nothing you type in a parameter can change that.
I don't see Reports in the sidebar.
Reports is Pro plan. Below Pro it's hidden.
My date range returns nothing.
Check the range covers actual activity, and that the project or employee filter isn't excluding it. Widen to all projects and the whole year to prove the report works, then narrow back down.
Can employees run reports?
Not by default — reports expose company-wide cost and pay data, so they're admin-only until your company turns on permissions. Then anyone granted Reports plus an area runs that area's reports.
A report is missing from my Reports menu.
You don't have View on its module. Find the report's number in Who sees which report and ask an administrator for View on that module.
The PDF export looks different from the screen.
The PDF and the printout follow View as HTML, not the interactive table: they're laid out for paper, with headings repeated and page breaks between rows. The figures are identical. If colours or the chart are missing, turn on Background graphics in the print dialog.
What's the difference between Reports and Billing?
Billing is one view — money collected, filterable, CSV export. Reports covers the wider set and exports to PDF.
