Analytics

The company over time. Where the Dashboard tells you where things stand this minute, Analytics shows how you got here — what you invoiced against what you collected, how old your receivables are, where estimates and leads drop out, what each week of labour cost — and compares every headline number with the period before.

Quick overview

Analytics answers "how are we trending?". For a printable list with exact rows — every open invoice, every hour by employee — use Reports. For where things stand right now, use the Dashboard.

Plan: Analytics is a Pro module. The Dashboard itself stays on every plan; the Analytics page, the Period selector on the Dashboard and the Insights blocks are what Pro adds.

Who: Admin by default. Once your company enforces permissions, Roles & Permissions can give Analytics to a group or a person — a project manager, a bookkeeper — and can take it away from an admin.

Having Analytics is not enough to see everything in it: each tab follows its own module.

Inside a tab, a headline tile that belongs to a module you can't open is simply left out. If none of the five modules is open to you, the page says Not available to you.

The period selector

The Period box at the top right drives the whole page. It offers five ranges, all made of whole calendar months in your company's time zone, and all including the current month:

Every headline tile at the top of a tab shows its total for the period and, under it, the change vs previous period — the equally long stretch right before. Green means the number moved the good way: for Paid out, Labor cost, Materials cost, Suspect punches and Completed late, down is the good way.

Your choice is remembered on that browser, and it is the same choice the Dashboard's Insights blocks use — change it in one place and the other follows.

The current month is never finished. On the 5th, This month holds five days and is compared with all of last month, so nearly everything looks down. Use Last 3 months or Last 12 months when you want a fair comparison, and This month when you want to see how the month is filling up.

Financial tab

Headline tiles: Invoiced, Collected, Paid out, Estimates accepted, Contracts signed and Change orders approved — each against the previous period.

Receivables aging and Top customers by receivables describe what is owed today, so they don't change when you change the period; the two 12-month columns always cover the last twelve months. Invoices, estimates and payments themselves are covered in Estimates, Invoices & Payments; contracts and change orders in Contracts & Change Orders.

Projects tab

Headline tiles: Projects started, Projects completed, Labor cost and Materials cost.

The health colours and the forecast are the same ones the Projects Dashboard uses, so a project that is At risk there is at risk here.

CRM tab

Headline tiles: New leads, Converted leads, Conversion rate, Won value, Win rate and Activities logged.

Workforce tab

Headline tiles: Approved hours, Pending hours, Labor cost, Average crew size and Suspect punches.

This tab shows what people earn. It follows the Employees module for that reason — give it only to people who may already see hourly rates. Hours, approval and suspect punches are explained in the Time tracking guide.

Operations tab

Headline tiles: Tasks created, Tasks completed, Completed late and Routes completed.

Insights on the Dashboard

Analytics also lives on the Dashboard. At the bottom of the Projects, Financial, CRM, Workforce and Operations sections, an Insights block shows the first chart of the matching tab — Invoiced vs collected by month under Financial, Approved vs pending hours by week under Workforce, and so on — for the period chosen in the Dashboard's Period box. Freshness & Rebuild now

You never have to "run" Analytics. When something changes — an invoice is paid, hours are approved, a lead is converted — Jobmand notes that your company's numbers are out of date and rebuilds them within seconds.

You rarely need Rebuild now — ordinary work refreshes the numbers by itself. Its one real use is after a bulk import or a data fix made by support, when a lot of history arrived at once and you want the charts to catch up immediately.

Last rebuild failed in the header means the numbers on screen are the last good ones, not wrong ones. Try Rebuild now once; if the message stays, send support a screenshot.

Common workflows

Month-end money review

  1. Reports → Analytics → Financial, Period Last 3 months
  2. Read Invoiced and Collected against the previous period, then the chart — is the gap between the two bars widening?
  3. Receivables aging — anything in 61-90 days or 90+ days needs a phone call, not another email
  4. Top customers by receivables — sort by Overdue to get the call list
  5. Need the invoice-by-invoice list to work from? Run R101 in Reports

Find where sales leak

  1. Analytics → CRM, Period Last 12 months
  2. Lead funnel — find the step with the biggest drop. New → Contacted is speed of response; Qualified → Converted is pricing or follow-up
  3. Campaign results — sort by Cost per lead, then look at Conversion: cheap leads that never convert are not cheap
  4. Switch to Financial → Estimate funnel — of the estimates you send, how many come back accepted?

Catch the jobs that will overrun

  1. Analytics → Projects
  2. In Projects in the period, sort by Forecast overrun, largest first
  3. For each job at the top, compare Labor and Materials with Budget to see which one is running away
  4. Open the job in Projects and check whether a change order should cover the extra scope

After a bulk import

  1. Finish the import and check a few records in their own screens
  2. Reports → Analytics → Rebuild now
  3. Wait for the header to say Updated … ago without the amber dot
  4. Pick Last 12 months and confirm the imported months now have bars

FAQ & Troubleshooting

I don't see Analytics in the Reports menu.
Either your company is below the Pro plan, or you weren't given the module. It's admin-only by default; an admin can grant it under Roles & Permissions.
A tab is missing.
Tabs follow modules. No Workforce tab means you can't open Employees; no CRM tab means you can't open the CRM Dashboard. See the table in Where to find it.
Everything is down against the previous period.
Check the period. This month, This quarter and This year are unfinished and are compared with a complete previous one. See The period selector.
Collected is higher than Invoiced this month. Is that a bug?
No. Invoiced counts invoices issued in the month; Collected counts money that arrived in the month, including payments for older invoices.
Receivables aging didn't change when I changed the period.
Correct — aging, Cash due in 30 days and Top customers by receivables describe what is owed today, whatever the period.
A chart says "No activity in this period."
Nothing of that kind happened in the months selected. Try Last 12 months. If you know there should be data — after an import, for instance — use Rebuild now.
I changed something and the chart didn't move.
Give it a few seconds — watch for the amber dot in the header to disappear — then click Refresh. See Freshness & Rebuild now.
I don't have a Rebuild now button.
It's only shown to admins who can edit My Company. You don't need it for day-to-day use.
Can I print or export a chart?
Analytics is for reading on screen. For something to print, email or save as PDF, run the matching report — see Which one should I use? in the Reports guide.
Can Analytics go on the office TV?
The TV display shows the Dashboard boards, and adds trend charts when your plan includes Analytics. See TV display.
The page says "This dashboard is not set up yet".
That is an installation step on the server, not something you did. Contact support.
