Dashboard & Workspace
The three screens every Jobmand user has, on every plan: the Dashboard you land on — one section per module, every number a link into its screen — the To-Dos that hold the actual work, and Messages for talking to the whole crew.
Quick overview
- Dashboard — where everything stands right now, one section per module you can open: your own work, the company's headline numbers, projects, money, CRM, the crew and daily operations. Employees get their own numbers and the clock — it is the only place an employee clocks in from the web. Click any number or row to jump straight into that screen.
- To-Dos — a task is one piece of work on one project, assigned to one person. Tasks carry the instructions, the photos, the materials used, and the hours worked.
- Messages — one-way announcements from the office to everyone, a group, or one person. Not a chat.
These three are never plan-gated and never hidden — they are what an employee's whole Jobmand consists of. The Dashboard shows the present; how the company moved over time — trends, period comparisons, receivables aging, funnels — is Analytics, a Pro module.

Everyone sees all of it. Admins get extra buttons inside these screens, not extra screens.
Dashboard
The screen you land on after signing in. It is built from sections — My work, Overview, Projects, Financial, CRM, Workforce and Operations — and you only get the ones for modules you can open. The Dashboard itself is on every plan and is never locked away; what changes from person to person is which sections are inside it.
Three things are true everywhere on the screen:
- Every number and every row is a link. Click Overdue tasks and you are in To-Dos; click a project in a list and that project opens. View All on a block does the same for the whole module.
- Sections fold. Click a section's title to close it. It stays closed on that browser until you open it again, so you can keep the screen down to what you actually watch.
- The strip at the top tells you how old the numbers are and has a Refresh button — see How fresh the numbers are. People who have Analytics also get the Period selector there.
What an employee sees
The Clock In / Out widget on top — pick the task you're about to work on and start the clock; that flow, including the end-of-shift photo, is covered in the Time tracking guide — and under it the My work section, which is only ever about you:

Below the tiles:
- My tasks due soon — your next tasks by due date, with the project and status; overdue ones say how many days.
- My last punches — your latest clock-ins: date, project, hours, whether the punch was by QR, Manual or Route, and whether it is pending, approved or rejected. A location? note means the punch was made away from the jobsite and the office will review it.
- My hours, last 8 weeks — a small chart of hours Logged against hours Approved, week by week. A gap between the two is hours still waiting for the office.
Earnings this month counts approved hours only. Hours you logged today that an admin hasn't approved yet are shown as pending hours under the tile, not as money. That's not a bug — see approval.
In a company that has not turned on Roles & Permissions, this is the employee's whole Dashboard. Once the company enforces permissions, an employee also gets a section for every module their group lets them open — a foreman who can open Projects gets the Projects and Operations sections, for example.
What an admin sees
Admins start with the Overview section and then get one section per module: Projects, Financial, CRM, Workforce and Operations — described in The sections. Overview is the part to read every morning. It has three pieces.

A tile only appears if you can open its module, so a company on a plan without CRM simply has fewer tiles — nothing shows up locked or greyed out.
Needs attention
One list of everything that is overdue or waiting on a decision, across every module you can open, most serious first: overdue invoices, change orders and estimates awaiting a decision, contracts expiring, unsigned or pending approval, overdue follow-ups, stale or unassigned leads, overdue or idle projects, overdue tasks and punch list items, unassigned routes, timesheets pending, suspect punches and shifts left open for 12 hours or more. Each row says what it is, the amount where there is one, and how many days it has been waiting. Click a row to go and deal with it. When the list is empty it says Nothing needs attention.
Clocked in now
Who is on the clock at this moment: name, project and task, since when, whether they punched in by QR, Manual or Route, and a location icon when the punch doesn't match the jobsite. This card is live — it re-checks every 30 seconds without reloading the page. You see it if you can open Timesheets.
The sections
Each section appears only if your plan includes the module and your permissions let you open it. Inside Financial, CRM and Operations, each block follows its own module — someone who can open Invoices but not Contracts gets the Financial section without the Contracts block.

A few things worth knowing about individual sections:
- Projects is the short version of the Projects Dashboard. The health colours are the same ones, and the ring, the tiles and View All open the Projects Dashboard; a project in a list opens that project. For one job's full money picture, open the project — see Project financials.
- Workforce follows Employees, not Timesheets. Everyone can open Timesheets to see their own hours, but this section shows company-wide hours and labour cost, so it is tied to the screen only the office opens.
- Operations → Next 7 days stacks, day by day, the tasks due, routes, projects starting and ending, and follow-ups — a quick read of how heavy each day of the coming week is.
- The 30-day and 7-day figures (payments received, suspect punches, new leads) are fixed windows counted back from today. They do not change with the Period selector — that only drives Insights.
Looking for the Project Financial Resume grid or the Change Orders strip? Both were replaced. Budget against cost per project now lives in the Projects section and, in full, in the Projects Dashboard. Pending and approved change orders are the Change orders block inside Financial, plus the Pending change orders tile in Overview.
Insights
At the bottom of the Projects, Financial, CRM, Workforce and Operations sections there is an Insights block: one trend chart for the period chosen at the top of the screen.

Open Analytics in the corner of the block takes you to the full page — see the Analytics guide.
Insights belong to Analytics, a Pro module, so what you see in that spot depends on your plan and your access:
- You can open Analytics — the chart, and the Period selector at the top of the Dashboard.
- Your company is below Pro and you are an admin — an upgrade card, Insights are part of Analytics, with Manage Subscription and a link to the plans. Employees never see this card.
- Your company has Pro but you weren't given Analytics — nothing. The rest of the section is unchanged.
How fresh the numbers are
The Dashboard does not add anything up in your browser. Jobmand keeps the totals ready on the server and rebuilds them within seconds of something changing — an invoice paid, a task completed, hours approved.
- The strip at the top says Updated … ago — for example Updated 12s ago — and the age keeps counting while the page is open.
- An amber dot with the word refreshing means a change was just made and the rebuild is in progress. Give it a few seconds.
- Refresh reloads every open section with the latest numbers. You don't need to reload the whole page.
- Clocked in now does not wait for any of this — it reads the clock directly and updates every 30 seconds.
If the strip says Last rebuild failed, the numbers on screen are the last good ones; tell your Jobmand admin or support. After a bulk import, an admin can force a rebuild from the Analytics page — see Rebuild now.
To-Dos (tasks)
A task is the unit of work in Jobmand. It belongs to a project, is assigned to one employee, and collects everything about that piece of work: instructions, photos, the materials consumed, the hours logged, and the proof it was finished.
The task list
Open Workspace → To-Dos. Employees see the tasks assigned to them; admins see every task in the company. Use the search bar to filter.

Creating a task
Admins only. Click Create Task and fill in:
- Project — which job this belongs to
- Assignee — the employee who will do it
- Due date
- Priority — Low / Medium / High
- Status — normally leave at Pending
- Materials — pre-assign catalog items the job will need (optional; the crew can add more later)
- Task files — drawings, spec sheets, permits
- Instruction photos — pictures with a description under each one. This is the single most useful field on the form: "grout colour must match this", "valve is behind this panel".
Tip: the assignee sees the instruction photos and their descriptions on their phone, on the jobsite, before they start. A photo with a caption prevents more rework than a paragraph of text.
Task detail
Click any task to open it. You get:
- Location — the customer address for this job
- Description & instructions — what to do
- Files — anything the office attached
- Materials Used — what has actually been consumed, and what it cost
- Work Log — every clock-in/clock-out session against this task
- My Earnings — for the assigned employee, what their hours on this task are worth
Logging a material expense
On the task, click Log Material Expense. Pick the item from the catalog, enter the quantity, and — importantly — attach the receipt photo. The cost lands against the project immediately, so the job's remaining budget is honest at the end of the day rather than at the end of the month.
Items come from Products & Services; if something isn't in the list, an admin must add it there first. See the catalog.
Completing a task
Click Complete Task. Jobmand will not let the task close until you provide both:
- Completion notes — what you actually did
- At least one photo — proof of the finished work
This is deliberate. The photo and note are what you show the customer when they question the invoice three weeks later.
Clock out first. If you're still clocked in against the task when you complete it, close the shift from the clock — otherwise the session keeps running and your hours will be wrong.
Messages
Company announcements. Messages go one direction — office to crew — and land in the web app and the mobile app at the same time. It is not a chat: there are no replies, no threads.
Sending a message
Click Send Message, choose who it goes to, type the body, send.

Groups are typed, not picked. "Plumbers" and "plumbers" are two different groups. Keep the spelling consistent on the Employees screen or people will silently miss messages.
Read receipts
The Recent Messages feed shows the sender, the body, and a Read by N count. Use it to confirm a safety notice actually landed before you assume everyone knows.
For the recipient, unread messages drive the bell badge in the top bar. Jobmand checks every 30 seconds and pops a toast with a sound for new mail.
Common workflows
Assign tomorrow's work (admin, end of day)
- Dashboard → Overview — check Overdue tasks and Pending hours, then read down Needs attention
- Clear the pending timesheets first (see approving hours) so payroll stays current
- To-Dos → Create Task for each piece of work — project, assignee, due date, priority
- Attach instruction photos with captions and any drawings
- Messages → Specific Group — "Crew B, start at the Oak St site 7am"
Run a task from start to finish (employee)
- Dashboard — pick the task in the Clock In / Out widget and clock in
- Open the task from To-Dos, read the instructions and instruction photos
- As you consume materials, Log Material Expense with the receipt photo
- When the work is done, clock out and write the shift summary
- Complete Task — completion notes plus at least one photo of the finished work
Find out where a job's money went
- Dashboard → Projects — Top at risk lists the jobs burning through their budget, with the share of budget used; click the one that worries you
- Open it in Projects and check Financials — labour vs materials
- If materials are the problem, open the project's tasks and read Materials Used per task
- If labour is the problem, check the Work Log on the big tasks against the estimate
Read the Dashboard in two minutes (admin, first thing)
- Glance at the strip at the top — Updated … ago should be seconds or minutes, not hours
- Overview → Needs attention — work the list from the top; every row opens the screen where you fix it
- Clocked in now — is everyone who should be on site on the clock, and is anyone flagged for location?
- Financial — Receivables overdue and the Overdue invoices list tell you who to call today
- Fold the sections you don't watch daily — they stay closed on this browser
FAQ & Troubleshooting
- I don't have a Create Task button.
- Only admins create tasks. Employees work the tasks assigned to them. Ask the office to add one.
- Earnings this month on the dashboard is lower than the hours I worked.
- It counts approved hours only. Anything still Pending is excluded until an admin approves it — the line under the tile shows how many hours are still pending.
- Complete Task won't let me finish.
- You need both a completion note and at least one photo. Both are required, deliberately.
- A completed task disappeared from my list.
- Completed tasks you never logged time against are hidden to keep the list clean. Admins still see everything.
- I sent a message to a group and half the crew missed it.
- Almost always a spelling mismatch in the group field on their employee records — "Crew B" vs "crew b". Fix it in Employees and resend.
- Can someone reply to a message?
- No. Messages are announcements. For a back-and-forth about specific work, use the task's notes or phone them.
- A material I need isn't in the Log Material Expense list.
- The list is the company catalog. An admin has to add it under Products & Services first.
- Where did the Project Financial Resume grid and the Change Orders strip go?
- They were replaced by sections. Budget against cost is in Projects (and in full on the Projects Dashboard); change orders are a block inside Financial. See The sections.
- Change orders approved shows "schedule days" — days added to what?
- The total schedule impact, in days, of every approved change order across your projects. It's the gap between the schedule you sold and the schedule you're now actually working to.
- A colleague has a Dashboard section that I don't.
- Sections follow modules. You get a section only if the company's plan includes that module and your permissions let you open it — see Roles & Permissions. Employees in a company that hasn't turned permissions on see only My work.
- I folded a section and now it's always closed.
- That's by design — a folded section stays folded on that browser. Click its title to open it again. On another computer or browser you start with everything open.
- I just changed something and the Dashboard still shows the old number.
- Look at the strip at the top. An amber dot and refreshing mean the rebuild is running; wait a few seconds and click Refresh. See How fresh the numbers are.
- There's an "Insights are part of Analytics" card at the bottom of my sections.
- Your company's plan doesn't include Analytics, and you are an admin, so Jobmand shows you what the upgrade would add. It hides nothing — everything above it is the full free Dashboard. See Insights.
- Can I put the Dashboard on the office TV?
- Yes, without signing anyone in on the TV — create a display link under My Company. See TV display.
