Mobile App — Getting Started
The Jobmand app is built for the jobsite: it works with no signal, keeps your photos until they can upload, and puts the clock one tap away. This guide covers signing in, finding your way around, and understanding offline mode.
Quick overview
The app is not a shrunken version of the website — it's a different tool for a different situation. Field staff can do everything their job needs from it. Admins get a useful subset for when they're away from a desk.
The one thing to understand: the app keeps a copy of your work on the phone. You can lose signal in a basement, keep working, and everything uploads by itself when you're back in coverage. You never have to remember to "send" anything.
Signing in
Enter the email and password your administrator gave you — the same ones as the website. There's a show/hide toggle on the password field for typing in bright sun with gloves on.
The app remembers you, so you sign in once and stay signed in.
Tick Save email & password and the app fills both in for you the next time the sign-in screen appears — after you sign out, or after someone else has used the phone. It only fills the fields in; you still tap Sign In. The password is held in the phone's encrypted storage, the same place your session is kept. Untick the box and sign in once more to erase it.
Leave the box unticked on a shared phone. Saved credentials let the next person sign in as you — and clock in as you.
Forgot password
Tap Forgot password? on the login screen, enter your email, and you'll get a "check your email" confirmation.
The confirmation appears whether or not the address is registered. That's a security measure, not a bug — it stops strangers using the screen to discover who has an account. If no email arrives, check the address is the one your admin used.
The bottom tabs
The bottom bar is a grid: four tabs per row, in up to two rows. A tab appears only if you have View permission on its module (see Roles & Permissions), so two people in the same company can see different bars.
| Tab | What's there | Who sees it |
|---|---|---|
| Home | Your dashboard, the clocked-in banner and your stats — with the Settings button and the message bell at the top right | Everyone |
| Tasks | The work assigned to you | Whoever can view Tasks |
| CRM | The company's leads | Whoever can view Leads |
| Clock | The running timer and clock-out | Whoever can view Timesheets |
| My Hours | Your hours, earnings and payment status | Whoever can view Timesheets but doesn't manage everyone's |
| Routes | The routes you're crewed on — or every route, if you can edit routes | Whoever can view Routes |
| Schedule | A read-only agenda of tasks, grouped by day | Whoever can view Tasks |
| Profile | Your profile, language, the administration screens and Log Out | Everyone |
With every tab on, the first row is Home · Tasks · CRM · Clock and the second My Hours · Routes · Schedule · Profile. A tab you can't see doesn't leave a hole: the others close up left to right, four to a row, and with four tabs or fewer the bar is a single row. The bar hides while the keyboard is open.
With the company's default permissions, a crew member sees Home, Tasks, Clock, My Hours, Routes, Schedule and Profile; an admin also gets CRM and has no My Hours.
Settings and messages are on Home, not in the bar. At the top right of the Home screen, the sliders button opens Settings and the bell opens your messages, with a red badge counting the unread ones. The bell only appears if you can view Messages.
The Profile tab
The Profile tab (the person icon, last in the bar) is where everything without a tab of its own lives. It opens with your name and email, then:
GENERAL
├── Clock in by QR Code (only if QR clock-in is on for your company)
├── My Profile
└── Documentation (opens this guide in the phone's browser)
LANGUAGE
└── (opens the language picker)
ADMINISTRATION (each entry only if you can view that module)
├── Projects
├── Customers Directory
├── Materials Log
├── All Invoices
├── Reports
└── Team Roster
Log Out
With the default permissions the ADMINISTRATION block is what admins see; a crew member who has none of those modules doesn't get the block at all. Routes and CRM leads have their own tabs, and Settings and messages sit in the Home header, so none of them are listed here.
Documentation opens this Getting Started guide in the phone's browser, in your language — English or Portuguese; any other language gets the English guide. It needs a connection.
Clock in by QR Code only appears if your company uses jobsite QR codes. It's remembered on your account, so it's still there when you're offline. See Jobsite QR codes.
Changing the language
Profile → LANGUAGE opens a picker with the flag and native name of each: English, Español, Português.
Your choice is saved to your account, so it follows you to the website and to any other device you sign in on.
Not everything is translated yet. The employee screens are well covered; several admin screens — Invoices, Materials Log, Team Roster, Customers, My Hours, Routes and the Clock — still show English text.
Working offline
When you lose signal, a red "Offline Mode: Changes are safe locally" banner appears on the Home screen. Keep working — it means exactly what it says.
What works offline
| Screens | |
|---|---|
| Works offline | Projects, tasks and the Schedule agenda built from them, timesheets, customers, materials, messages, team roster, task files — and clocking in and out, including the QR punch |
| Needs signal | Routes, invoices, reports and the My Hours summary — these are always fetched live and will be empty with no connection |
Check your route before you leave coverage. Routes are one of the live-only screens, so a crew driving into a dead zone should open the route and note the stops first.
When it syncs
The app does not poll in the background. It syncs at four moments:
- When you open the app
- When you sign in
- When you pull down to refresh on a list
- Right after you clock in or out
If something looks stale, pull down to refresh. That single gesture answers most "why can't I see the new task" questions — the office created it after your last sync.
The photo upload queue
Photos you take don't upload immediately. They go into a queue on the phone and upload in the background, retrying if they fail.
A pending photo shows a small cloud badge; one that failed repeatedly shows a failed badge. Both are normal on a bad connection.
Don't sign out with photos still queued. Signing out clears the phone's local data — including anything not yet uploaded. Get back into coverage, open the app, and check the badges have cleared first.
Settings & permissions
Home → the Settings button (the sliders icon at the top right, left of the bell).
Notifications
Turning notifications on asks the phone for permission and registers this device for push. You'll get banners while the app is open, and notifications when it isn't.
If you stopped getting notifications, toggle this off and on — it re-registers the device.
Location
Location is used to attach coordinates to your clock in and out, so the office can see where a shift started and finished.
Denying location never blocks you from clocking in. The punch goes through either way; the office simply won't see a position for it. Location is a record, not a gate.
Clear & Reload Data
Wipes the phone's local copy and downloads everything again. Use it when the app is showing something clearly wrong that a pull-to-refresh won't fix.
Only do this with a good connection, and only when nothing is queued. It deletes the local data first and re-downloads after — so a queued photo that hasn't uploaded is gone.
My Profile
Read-only: your photo, role, completed tasks, hours logged, email, permission level, and under Assigned Workspace the name of the company you belong to.
To change anything on it — your rate, your language default, your role — ask your admin; those live on your employee record.
Signing out & shared phones
Signing out, or signing in as a different person, wipes the local copy of the data from the phone. That's deliberate: one company's work never sits on a device after someone else takes it over.
Never share a signed-in phone. Whoever is signed in is who gets clocked in — including by a QR scan. Two people sharing one login produces two people's work on one person's timesheet.
Common workflows
First-time setup on your phone
- Install the Jobmand app and sign in with the email and password from your admin
- Profile → LANGUAGE — pick your language
- Home → the Settings button (top right) — allow notifications and location
- Open Tasks and pull down to refresh
- Clock in and straight back out once, to prove the whole loop works before you rely on it
Prepare for a day with no signal
- While still in coverage, open the app so it syncs
- Open your route and read the stops — routes don't work offline
- Check your Tasks have loaded, with their instruction photos
- Work normally out there — clock in, take photos, log materials
- Back in coverage, open the app and confirm the photo badges have cleared
The app is showing something wrong
- Pull down to refresh — this fixes most of it
- Still wrong? Close the app fully and reopen it (that triggers a sync)
- Still wrong, and nothing is queued? Home → the Settings button (top right) → Clear & Reload Data on a good connection
- Still wrong? Tell your admin what screen and what you expected
FAQ & Troubleshooting
- I can't sign in.
- Check the email is exactly the one your admin set. If it still fails, use Forgot password? or ask your admin to set a new password.
- I used Forgot password but no email arrived.
- The confirmation shows regardless of whether the address is registered. Check the address with your admin.
- A new task isn't showing.
- Pull down to refresh. The app only syncs on open, on login, on pull-to-refresh and after clock actions — it doesn't check in the background.
- My routes screen is empty.
- Routes need a connection — they're not stored on the phone. Also, employees only see routes they're crewed on.
- My photos have a cloud icon on them.
- They're queued and will upload when you have signal. A failed badge means it retried and couldn't — get back into coverage and open the app.
- I don't have a My Hours tab.
- My Hours is for people who see their own timesheets only. If you can manage everyone's timesheets — admins can, by default — you don't get it. Nothing takes its place: the other tabs close up.
- I don't have one of the tabs a colleague has.
- Each tab follows your permissions — CRM needs View on Leads, Routes on Routes, Tasks and Schedule on Tasks, Clock on Timesheets. Ask your admin to check your group.
- Where did Messages and Settings go?
- Both are at the top right of Home: the sliders button is Settings, the bell is Messages.
- I don't see "Clock in by QR Code".
- Your company hasn't enabled jobsite QR clock-in. An admin turns it on in My Company, then signs you out and back in — the app learns the setting when you sign in.
- Parts of the app are in English even though I chose Português.
- Known — several admin screens aren't translated yet. The screens field staff use every day are.
- Can I change my hourly rate or my name in the app?
- No, the profile is read-only. Ask your admin — those fields live on your employee record.
- Is my data still on the phone after I sign out?
- No. Signing out — or signing in as someone else — wipes the local copy.
