Mobile App — Admin Screens
What an admin can do from the phone: check a job's remaining budget on site, add a customer while you're standing in their driveway, log materials against a task, and send an invoice PDF before you get back to the truck.
Most of these screens are still in English regardless of your language setting — Invoices, Materials Log, Team Roster, Customers and Routes haven't been translated yet.
Quick overview
The app isn't a replacement for the web app — it's the half of it you need when you're not at a desk. Everything here also exists on the web, usually with more depth.
Being an admin changes the app in two places: the tab bar (you get the CRM tab and no My Hours, and Tasks, Routes and Schedule show everyone's work, not just yours) and the Profile tab (you get an ADMINISTRATION block). All of it follows your permissions — see Roles & Permissions — so what this guide calls "admin" is really "whoever can view that module".

Projects
Profile → Projects. The project list, with a + button to create one. The form asks for name, description, start and end dates, budget, whether it's hourly or fixed price, and the customer.
An employee who somehow reaches this screen gets an Access Restricted message instead of the list.
Project detail
The single most useful admin screen on the phone, because it answers the on-site question: how much of this job's money is left?

Budget remaining only subtracts approved labour. If there's a week of unapproved timesheets sitting in the queue, the figure is optimistic. Clear the approval queue before you quote off it.
Project photos
Take a photo and it attaches to the project, going into the same background upload queue as everything else — a cloud badge until it uploads.
The gallery shows every picture of the project: the project-level photos you take here, any image among its files, and the photos your crew took on the project's tasks — the same set the web app shows. Take project photos for progress shots and site conditions; task photos stay the evidence that a specific piece of work was done, and you can tell which is which by tapping through to the full size.
Customers
Profile → Customers Directory. A searchable directory — by name, email or phone — with a + button to add one on the spot.
Customer detail
- Tap to call and tap to email — the reason to open this screen instead of hunting through your contacts
- Contact details
- All their addresses, principal first, each opening in Google Maps
- Their projects, with the total budget across them
Leads (CRM)
The CRM tab lists the company's leads — search by name, company or phone, filter by status, and tap the phone or envelope to call or e-mail straight from the list. The + button creates a lead (name, company, phone, e-mail, source). The screen needs a connection; it is not cached for offline use. You see it when you can view the Leads module, exactly like the web.
Tapping a lead opens it: contact details, Call, Email and Share PDF — the same Lead details document the web prints (D401), generated on the phone and handed to the share sheet — and three tabs:
- Activities — every call, e-mail, meeting or site visit logged on the lead, newest first, with who logged it and a check mark when done.
- Notes — the shared notes, pinned ones first, with a box to add your own.
- Photos & files — photos as thumbnails (tap to open full size), other files by name.
Logging a site visit
At the customer's house: open the lead, go to Photos & files and tap Take photo (or Choose photos for pictures already on the phone). Photos upload in the background — a basement without signal just delays them; they go up when the phone is back online, like task photos. iPhone photos in HEIC format are accepted and converted to JPEG on the server, so they open in every browser and print in the lead document. Then Notes → Add note for what the customer said, and Activities → Log activity: pick Site visit, write a subject and what happened, leave Already done on, Save. Back at the office the lead in the web app shows the visit, the notes and the photos, and Print puts them all in the lead document.
Permissions. Adding notes and creating leads needs Create on Leads; photos need Edit on Leads; logging an activity needs Create on Follow-ups. A converted lead is read-only.
Team Roster
Your team, with their role and group, and call and email shortcuts. It's the fastest way to reach whoever is on the other site.
Materials Log
Every material entry across the company, with a summary of the entry count and total cost, and a project filter.
Adding a material
Tap Add Material. You pick a material from the catalog and attach it to either a project or a task:
- Search the catalog and pick the item
- Enter the quantity; the unit price fills in from the catalog
- Add notes
- The line total updates as you type, so you see the cost before you commit it
The entry appears in the list immediately, because it's written to the phone as well as sent to the server.
Attach it to the task where you can. A material on a task tells you which part of the job consumed it; a material on the project only tells you the job did. The first one is what lets you price the next job better.
Invoices
Profile → All Invoices. A filterable list — a date range with This month, Last 30 days and Year to date presets, plus customer and status filters and a search box.
Each invoice has Download PDF, which builds the invoice document and hands it to your phone's share sheet — so you can email or message it to the customer from the site.
Invoices need a connection. Like routes and reports, they're always fetched live and won't appear offline.

Reports
Profile → Reports lists your company's published reports, grouped by category. Open one, fill in its parameters, and run it.
The viewer shows a table, a simple bar chart and the totals. You can switch to a server-rendered view, and export or share the PDF from the phone.

Tasks as an admin
The Tasks tab behaves differently for you:
- You see every task, not just your own
- A + button creates a task
- On a task, instead of the clock footer you get a Materials panel — search the catalog, set quantity, unit price and notes, link or unlink items
- You get a Mark as Completed button
- Task photos are read-only for you; employees are the ones who add them

Common workflows
Site visit
- Profile → Projects — open the job, check budget remaining before you talk numbers
- Read the specifications so you're discussing the agreed scope
- Take project photos of progress and site conditions
- Add any task the visit turned up, with instructions
- If the customer asks for extra work, note it and raise a change order back at the office — don't agree to it on the spot
Sign up a customer at their property
- Profile → Customers Directory → + — name, phone, email
- Add the site address while you're standing at it
- Profile → Projects → + — create the job against that customer
- Take photos of the site into the project
- Build the estimate on the web when you're back
Log a supply-run purchase
- Profile → Materials Log → Add Material
- Pick the item, enter the quantity, check the line total
- Attach it to the task it's for, not just the project
- Add the invoice or receipt number in the notes
Send an invoice from the field
- Profile → All Invoices
- Filter to the customer, or search
- Download PDF on the invoice
- Share it by email or message from the share sheet
- Record the payment on the web when the money arrives
FAQ & Troubleshooting
- I don't see Projects or Customers under Profile.
- Each ADMINISTRATION entry needs View on its module, and with the default permissions only admins have it. Ask your admin to check the role and group on your employee record.
- Projects shows "Access Restricted".
- Same cause — the account can't view Projects.
- Budget remaining looks wrong.
- It subtracts approved labour only. Unapproved timesheets aren't counted, so the figure reads high until the queue is cleared.
- Invoices and Reports are blank.
- They need a connection — neither is stored on the phone.
- A material I added doesn't show on the web.
- It's written locally first and syncs afterwards. Pull down to refresh on the phone with a connection, then check the web again.
- Can I approve timesheets from the app?
- No, approval is web-only.
- Can I create an invoice on the phone?
- No — you can list, filter and share existing invoices as PDFs. Creating and editing is on the web.
- Why is Materials Log in English when I chose Português?
- Several admin screens haven't been translated yet. The employee-facing screens have.
- Photos I took on a project haven't appeared.
- They're in the upload queue. Open the app on a good connection and pull down to refresh.
